The challenge
Our client — an industry-leading network solutions provider — had grown from 4 members of staff to over 50 in four years. Growth like that is a good problem to have, but their systems could not keep up.
- They were using a CRM, but it did not do everything the business needed.
- Quoting, acceptance, provisioning and billing were all separate, manual processes.
- Items were missed off bills. Some quotes never got provisioned. Some quotes simply got lost.
Every gap between those systems was costing real money — orders going unbilled and work slipping through the cracks.
The solution
We built Assist: a cloud application that manages the company’s sales funnel, quotes, documents, signatures, provisioning, billing and system monitoring — all from one place.
- Staff manage leads, accounts, companies, assets and products from a single application.
- Assist hooks into the APIs of the third-party tools the business already relied on — Zoho for CRM, Xero for billing, PRTG, UniFi Controller and others — rather than replacing them.
- One dashboard manages workflows and provisioning end to end.
- Because it builds on existing functionality, their systems still work without Assist — just with far more automation and oversight when it is there.
- Ageing-balance reports and outstanding-task lists surface anything that needs attention or completing.
- Assurance reports prove that every order is being paid, every deal is being provisioned, and every provisioned asset is being billed for.
The technology
Assist is a bespoke web application built around an API integration layer. It keeps Zoho, Xero, PRTG and UniFi Controller in sync continuously, holding a single, trustworthy picture of the business — thousands of products, accounts, deals and assets refreshed from the source systems in near real time.
The outcome
The revenue leaks closed: nothing is missed off a bill, no quote can quietly disappear, and provisioning follows automatically from an accepted deal. The team runs the whole operation from one dashboard, with the reports to prove everything adds up — and the platform scales with them as they keep growing.
